Position Description
Administrative Support
• Serve as the central point of communication for department: answering phone calls/checking VM/returning calls, greeting guests, and sort/distribute incoming mail.
• Serve as the liaison between programs and membership within the organization.
• Responsible for maintaining the Director’s calendar – including scheduling/confirming appointments, prepping documents for meetings, etc.
• Assist in answering questions from all committees, other departments, members and vendors. Use critical thinking skills to resolve any issues.
• Maintain a complete and detailed filing system by auditing and updating the system on an ongoing basis; such as membership and programming files.
• Audit and revise of the department’s program records to include policies and bylaws.
• Responsible for taking meeting minutes and sending them to Director and those in attendance.
• Coordinate weekly report collection and compile for submission to Programs Manager.
• Assist with onboarding new staff members.
• Provide back-up administrative support for the organization and Front Desk position as needed, to include all Director staff.

Fiscal Support
• Assist Program Manager with collecting, submitting, and processing of Paid Time Off.
• Assist with Grant writing, and donor/sponsorship packages.
• Assist with securing documents needed for department/fund reports.
• Develop, audit, and submit Purchase Requests (including mileage, invoices, purchase orders, reimbursements, travel requests etc.) and all other documents requested by Finance Department.
• Assist in processing, recording, and submitting financial information to the Finance Department.
• Assist Managers tracking spending per each committee budget as it relates to program supplies and maintaining an accurate inventory.
• Work with Finance Department to troubleshoot any department or committee issues.

Program Support
• Develop and maintain a database of committee/program points of contact.
• Responsible for maintaining the committees calendar of events and Department Program Schedule.
• Assist with collecting data and analyzing reports for each initiative within department.
• Work with Program and Membership Manager and Committees to maintain all program files for compliance.
• Work with Program and Membership Manager and Youth Committees to maintain consistent and effective communication regarding activities and programs (including phone calls, drafting letters/emails, creating memos/flyers, websites and other media related outlets, etc.).
• Assist Managers with drafting contracts and memorandums of understanding for vendors.
• Schedule and staff meetings/events.
• Record and transcribe meeting minutes.
• Assist with organizing committee and staff schedules, training and events.
• Assist Committees with scheduling of consultants and program presenters.
• Perform special projects and other duties as assigned

Position Requirements

• Veteran preferred.
• Associate’s degree required; Bachelor’s degree preferred, with a minimum of 3 years of experience in administrative support.
• Intermediate computer skills including but not limited to Salesforce required.
• Valid driver license, auto insurance and reliable transportation is required.
• Excellent data entry skills and attention to detail. Strong verbal and written communication skills.
• Strong ability to perform skilled clerical and administrative functions, including but not limited to preparing and mailing correspondence and other materials as needed.
• Ability to multi-task, work in a team environment, gather data, and complete all department reporting as needed.
• Ability to pass a background check.
• Business Casual attire and professional appearance and demeanor required.
• Ability to sit, stand, bend and lift to 25lbs.
• Ability to travel statewide and to surrounding states for department events.
• Can-do attitude!
